Project Description
The launch of the book "Selangkah di Belakang Mbak Tutut" is an important event that brings together guests from various backgrounds, ranging from extended family, community leaders, media, to government officials. With a considerable number of diverse invitations, a modern and integrated event management system is needed to ensure the entire process runs smoothly, orderly, and professionally.
To support this, we present Kelolain – Event Management System as the primary solution for managing the entire event series. Through this system, the organizing committee can manage participant registration online so that guest data is well-documented before the event takes place. Every participant who registers will receive a personalized confirmation email, complete with event details and attendance guidelines. Leading up to the launch day, the system also sends automatic reminder emails so that invitees don't miss this important moment.
During the event, each guest simply needs to show their unique QR Code that they received beforehand as a digital ticket for the check-in process. For VIP guests and media, official invitations are sent in PDF E-Invitation format that includes QR Code confirmation. The organizing committee can also arrange seating arrangements neatly according to categories, ensuring comfort for both VIP guests and general participants.
Attendance is recorded in real-time through the scan activity feature, allowing the organizing committee to monitor the number of attending guests directly. Additionally, for souvenir distribution, participants simply need to show their digital stamp through the system, which automatically prevents duplicate claims and facilitates the organizing committee in distribution.
With this system, the book launch event not only runs more orderly and efficiently, but also provides a modern experience for participants. The organizing committee obtains accurate attendance data, while participants enjoy the convenience of an all-digital process from registration to souvenir redemption.
